Conditions of Hire

The conditions of hire that apply to every booking at The Sandel Centre.

  1. 01

Tariffs for use of the building are based on Community and Business rates. Community rates will be available to hirers who can satisfy Centre Management that their organisation is established for the benefit of the community, not established for profit, and is a recognised charity. Business rates apply to all other organisations and groups.

  2. 02

Bookings of the facility are charged at the agreed hire tariff exclusive of VAT at present, although this may change in the future.

  3. 03

Recurring bookings will be limited to not more than 12 months and will be subject to renegotiation.

  4. 04

As the Centre is a Christian facility, management expects high standards of behaviour from all users and hirers are responsible for the conduct of their group while at the Centre.

  5. 05

The building is not to be used for the promotion of any teachings or activities inconsistent or in conflict with the aims and beliefs of Mountsandel Christian Fellowship. If necessary, Centre Management will refer an application to MCF Charitable Trust for approval.

  6. 06

The premises must be left in good order and vacated no later than the time booked. A charge will be levied for any time used over and above that booked. The hirer is also responsible for ensuring guests leave the premises, including the car park area, in a quiet and responsible manner with regard for local residents.

  7. 07

Hirers are responsible for the cost of any damage to the building or contents by members of the hirer’s group.

  8. 08

If any session within a block booking is cancelled at less than 7 days’ notice and the facility is not re-let, the hirer may be liable to pay in full. Management reserves the right to re-let times and spaces where provisional bookings have been made by telephone and booking forms have not been returned 14 days before the hire date.

  9. 09

No lettings shall continue beyond 11:00pm unless prior permission is obtained from the Centre Manager.

  10. 10

Lettings for music and dancing are admissible without a public licence application only if entertainment is for a closed organisation where admission is by invitation only. Entertainment is regarded as private if admission is restricted to members of a club, church, group or similar association and their guests, or in the case of a school to students, former students, parents and friends.

  11. 11

All other entertainment is classified as public entertainment and there is a statutory requirement that the building must be licensed for these events. Costs of the application are excluded from the hire tariff and shall be negotiated case by case with the local authority depending on function size. The Centre will not be available for events that could lead to excessive noise levels for local residents.

  12. 12

The Sandel Centre is covered by Public Liability Insurance. However, no liability is accepted for loss or damage to any property belonging to any person or organisation using the Centre. Nor is liability accepted for personal accident or illness sustained by any person.

  13. 13

Individuals or organisations using The Sandel Centre must have their own Public Liability Insurance and comply with all relevant Government legislation.

  14. 14

Organisations working with children under 18 must have a Child Protection Policy.

  15. 15

Lettings likely to result in the capacity of the Centre car park, 45 vehicles, being exceeded must be negotiated with the Centre Manager to determine an acceptable overflow parking arrangement. In such an event the hirer must provide parking stewards to ensure parking is in accordance with the agreed arrangements.

  16. 16

The hirer is responsible for ensuring numbers attending an event do not exceed those quoted in the application.

  17. 17

The hirer must not sub-let to another group.

  18. 18

The Sandel Centre is designated as a non-smoking area. The hirer is to ensure that those attending the function who wish to smoke do so outside the building.

  19. 19

Normally the drinking of alcohol is prohibited in The Sandel Centre. In special cases, a dispensation for limited use of alcohol in support of a function can be applied for from the Centre Management Committee, provided the hirer can demonstrate controls that will ensure alcohol use will not be abused. Sale of alcohol on the premises is prohibited. The decision of Centre Management is final.

  20. 20

The Centre reserves the right to refuse, alter or cancel lettings at management’s discretion.

  21. 21

First Aid facilities are provided at the First Aid Point behind main reception.

  22. 22

Hirers are reminded that they and their group should be fully conversant with the Centre’s fire and emergency procedure. Centre Management can provide a briefing to users on request.

  23. 23

Hirers are responsible for ensuring any equipment brought into the Centre is safe to use, including ensuring electrical equipment has been PAT tested.

  24. 24

Failure to abide by these terms and conditions or bringing the Centre into disrepute may result in existing bookings being cancelled and/or new bookings not being accepted.
